This privacy policy sets out how the Byotrol group of companies uses and protects any information used in the sale or marketing of our products and/or services. This policy lays out our specific commitments, in compliance with GDPR 2018.

Byotrol is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

Byotrol may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 26.09.2023.

As part of handling and processing your data we have a designated Data Protection Officer and they are your first point of contact should you have any questions or issues about what we do, or why we do it.

What we collect

We collect a range of data, which allows us to deal with our customers and process their data.

We may also collect the following information:

·       Name and job title

·       Contact information including email address, LinkedIn profile, telephone numbers

·       Demographic information such as postcode, preferences and interests

·       Other information relevant to customer surveys and/or offers

How we collect data

We collect data from phone calls, emails, from appointed representatives and in the case of Businesses, web search engines, directories and websites. We also collect data from our customers.

For our business contacts, or prospects, data comes directly in the form of business cards, from event attendance or from publicly available sources including the internet. Our customers also supply us with their data for the process of marketing.

Lawful basis of our processing

We process data under our contractual obligations to our customers, and under our legitimate business interests.

Contractual obligations – it is necessary for us to process your data to deliver on our contractual obligations.

Legitimate business interest – it is in our legitimate business interest to keep you informed of our products and services with the purpose of retaining your custom for the future, or, if you are not currently a customer, for the purposes of potentially supplying you with our products and services.

When we process your personal information for our legitimate interests, we make sure to consider and balance any potential impact on you (both positive and negative), and your rights under data protection laws.

Our legitimate business interests do not automatically override your interests – we will not use your Personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law).

What we do with the information we gather

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

·       We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided. You can opt out of receiving any contact, other than that mandated by our contractual obligations, by clicking unsubscribe in the footer of our emails.

·       From time to time, we may also use your information to contact you for market research purposes. We may contact you by email or phone. We may use the information to customise the website according to your interests.

Sharing your data

We may share this data with trusted partners (share, not sell) who have confirmed that they are in line with GDPR.

Transfer of data

We do not transfer data outside of the UK or EEA. However, by the nature of the Internet, the personal data you supply through this website may be sent electronically to servers anywhere in the world, e.g. GA4 data. It may be used, stored and processed anywhere in the world, including countries outside the European Economic Area. Any transfers of data outside the EEA it will ensure that all reasonable security measures are taken and that any third-party processers will be required to process the data in accordance with GDPR.

Data retention

We retain all data for 7 years from last purchase or last contact, after which it is securely destroyed / shredded. A small amount of data, such as analytics data on our website, is stored permanently. It is a requirement for us to retain data, where it is relevant to insurance companies or other providers, or where there is a contractual obligation.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. Unfortunately, no data transmission over the Internet is guaranteed to be secure, but we do take appropriate steps to protect the security of your personal data as required under our obligations under GDPR.

Online data

We use google analytics to collect overall data on the number of visitors to our site and what they do when they are there. For example, if 100 people viewed our home page and 86 then viewed an individual product, we have access to that information. We also review how long people stay on our site and broadly, where they come from down to a regional area. We do not store or collect any data on IP addresses or use that data to identify individuals. Although this information is available through GA4, it is not used by us or processed in any way. We use the data we collect to alter our website on a generic level. We do not, at present, tailor the site to individuals.

Data profiling

We do not use our data for the purposes of profiling or automated decision making. We do use Google Analytics data to help develop or website. All analytics data is anonymous. If you want to exclude yourself from being monitored by analytics, the simplest way is to use private browsing. We use cookies – specifically GA4 – to track behaviour on our site – using private browsing will ensure that your visits are not tracked. It is not technically possible for us to remove individuals from the analytics data at present.

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and recalling information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

Online advertising

We reserve the right to use Google AdWords Remarketing to advertise ourselves across the Internet. AdWords remarketing will display relevant ads tailored to you based on what parts of our website you have viewed by placing a cookie on your internet browser. The cookie does NOT in any way identify you or give access to your device. Google AdWords Remarketing allows us to tailor our marketing to better suit your needs and only display ads that are relevant to you.

If you do not wish to participate in our Google AdWords Remarketing, you can opt out by visiting Google’s Ads Preferences Manager.

Controlling your personal information

You may choose to restrict the collection or use of your personal information in the following ways:

·       All Byotrol email campaigns (whether for marketing or to notify you of service interruptions such as holiday periods) include an unsubscribe link which you can use to remove your email address from our distribution list automatically.

Incorrect data
